Terms of Service

1. Agreement

By creating a CareTrack account you agree to these terms on behalf of your organisation. If you do not have authority to do so, do not use the service.

2. Trials and subscriptions

New organisations receive a free trial. After the trial you must choose a paid plan to continue using the service. Plans are billed monthly or annually in advance and renew automatically until cancelled. Plan limits on staff numbers and sites are enforced by the service.

3. Cancellation and refunds

You may cancel at any time from the billing page; access continues until the end of the paid period. Fees already paid are non-refundable except where required by law.

4. Your responsibilities

  • Keep sign-in credentials secure and only grant access to authorised colleagues.
  • Ensure you have a lawful basis for uploading staff personal data and documents.
  • Check the accuracy of the records you enter.

5. No regulatory advice

CareTrack's default requirement list and any in-app guidance are general helpers, not legal or regulatory advice. You remain responsible for determining the training and checks appropriate to your service and for meeting CQC and other regulatory obligations.

6. Availability and liability

We aim for high availability but do not guarantee uninterrupted service. To the extent permitted by law, our total liability is limited to the fees paid in the twelve months before the claim, and we exclude liability for indirect or consequential loss.

7. Governing law

These terms are governed by the laws of England and Wales.
